Echo in a Teams meeting is nearly always a physical problem, not a software one. Somewhere, a microphone is picking up the meeting’s own sound from a speaker and sending it back. Teams has echo cancellation built in, and it copes well with a single person on a single laptop. What defeats it is a handful of very common room arrangements. Find which one you are in and the fix is usually a ten-second job.
First, work out who is causing it
There is a counterintuitive rule worth memorizing: the person who hears the echo is rarely the person producing it. If you hear your own voice coming back a moment after you speak, your audio traveled to someone else’s speaker, into their microphone, and back to you. Your setup is fine. Theirs is leaking.
This makes diagnosis straightforward in a group call. Ask people to mute one at a time, or watch the speaking indicators in the participant list while one person talks. If an indicator lights up next to somebody who is not talking, their microphone is hearing the meeting. When that person mutes, the echo stops, and you know where to look.
If everybody except you hears the echo, the leak is on your side.
Two devices, one room
This is the most frequent cause in offices. Two colleagues sit near each other, both join the same meeting on their own laptops, and both have audio on. Each laptop’s speaker plays into the other laptop’s microphone. Echo cancellation on each machine only knows about the sound that machine is playing, so it cannot remove what arrives from the neighbor’s speaker, and the delay between the two produces that distinctive hall-of-mirrors effect, sometimes followed by a rising squeal.
The same thing happens when one person joins on a laptop and a phone at once, perhaps to use the phone as a second screen, and forgets that the phone joined with audio.
The fix is simple: one audio source per room. Everyone else joins with audio off, which Teams offers on the pre-join screen, or wears headphones and stays muted unless speaking. Open-plan offices benefit from making headsets the norm for this reason alone.
The meeting room plus a laptop
A close relative of the previous setup appears in conference rooms. The room system or speakerphone is carrying the meeting, and someone opens a laptop to share slides and joins with full audio. For a second or two the room howls.
Teams tries to prevent this. When it detects a nearby room device, it can suggest joining with your audio off, and that prompt deserves a yes. If you miss it, mute your microphone and turn your laptop speaker down to zero straight away, then switch your audio off properly from the device settings. Loud speakers, open microphones and hard rooms
Even a lone participant can create echo if the setup is demanding enough. External speakers turned up high and placed close to a sensitive microphone give the echo canceller a lot to handle. A monitor with built-in speakers paired with a separate webcam microphone is a typical example, because the two devices know nothing about each other.
The room plays a part as well. Glass walls, bare floors and large tables reflect sound, so the microphone hears the far-end voice several times, slightly delayed each time. Small glass-walled meeting booths are surprisingly bad for this. Soft furnishings help, and so does lowering the speaker volume or moving the speakerphone toward the center of the table and away from the wall.
Purpose-built speakerphones handle this far better than a loose combination of parts, because the microphone and speaker are designed together and the device performs its own echo cancellation. If a room is used for calls every day, that is the upgrade that pays off first.
And then there are headphones, the blunt instrument that always works. When sound from the meeting goes straight into your ears, there is nothing for the microphone to pick up. If you are the identified source of an echo and have no time to investigate, plugging in any pair of earphones ends the problem for the rest of that call.
A short routine for the next echoing call
Find out who is leaking by watching the speaking indicators. Ask that person to mute, which gives everyone instant relief. Then check the usual suspects in order: a second device in the same room, a laptop joined alongside a room system, or speakers turned up too loud near an open microphone. More often than not, turning off one extra audio source is the entire repair.
